Summary
The Defence Electronics & Components Agency (DECA) is an Executive Agency of the MOD, which providing UK MOD with assured access to through-life maintenance, repair, overhaul and upgrade services and capability for an extensive range of electronic and electro-mechanical equipment across defence on military platforms such as Tornado, Typhoon, Lynx, Chinook, and the new QE II Aircraft Carriers.
DECA’s sites in Sealand and Stafford, as well as deployed teams across the UK and overseas, continue to provide value for money services to both MOD and industry that increase equipment reliability and overcome obsolescence issues on in-service and legacy equipment. DECA has recently been assigned as the global repair, maintenance, overhaul and upgrade hub for F-35 avionic and aircraft components.

Job description
Provision of administrative support to assist in the effective delivery of Human Resources (HR) services to HR customers i.e. employees, managers and other stakeholders.
Tasks include but not limited to:
• Facilitating the recruitment process, administration of security clearances, requesting employment references and health assessments.
• New starter ‘first day’ administration, such as authorising the issue of ID passes, updating the personnel management system and Time & Attendance system with new starter details.
• Respond to general HR queries (internal and external) and escalate when necessary.
• Monitor conformance with DECA/MOD Policies relevant to own work area.
• Input absence data (e.g. sickness, unpaid leave), onto HR systems and relevant HR spreadsheets notifying pay provider where applicable.
• Administrative support for digital payslips i.e. assist employee with account queries, unlock accounts, re-set passwords/pins and guidance on navigating the system.
• Run ad hoc reports and extract data from HR systems and prepare basic management information as required.
• Arrange Occupational Health referrals for employees.
• Maintain both electronic files and personal paper files with HR related information as required.
• Task logging and monitoring on diary system (spreadsheet), ensure tasks are completed and future ones planned.
• Administrative duties for wider HR team as required, for example, room booking and making appointments.
• Maintenance of Gifts, Rewards & Hospitality register.

Skills and Experiences
Responsibilities
Essential:
Candidates will be highly numerate and articulate with either GCSE Maths Level 4 (Grade C or above) or equivalent and GCSE English Language Level 4 (Grade C or above) or equivalent or qualified through experience.
Experience of general office administration
Proficient in the use of Microsoft Office Applications (e.g. Word, Excel, Outlook and Power point).
Good communication skills including verbal, written and listening are important. The post holder should be customer focused and have high level of attention to detail.
Desirable:
Knowledge of HR policies and processes would be advantageous.
